Start with the exact outcome you need. Size tools target limits such as 20KB, 100KB, or 200KB; dimension tools create fixed outputs such as 200x200 pixels; converters change the file format while clearly stating what happens to transparency, metadata, and quality.

Check the receiving form's rules in four separate parts: encoded format, exact or minimum pixel dimensions, maximum bytes, and what must remain visible. A 200 by 200 image can satisfy a dimension rule while still exceeding a KB cap. A 200KB JPEG may pass size but fail a PNG-only requirement. Decide which constraint matters first instead of choosing a tool solely from its name.

For a landscape photograph placed in a square slot, cover fills the frame and trims the sides; contain preserves the entire scene with background space. Crop is useful when irrelevant margins are consuming pixels, but it can remove important identity or product details. Inspect the result at the destination's actual display size. A tiny preview can hide JPEG blocks, softened labels or changes to a face.

Choose JPEG for photographic output when the destination permits it. Choose PNG when transparency or crisp interface lines matter; a PNG that is downscaled can still lose detail even though its encoding is lossless for the remaining pixels. Converting formats does not guarantee the same metadata or animation. Keep the original until you have opened the saved file and checked its dimensions, type and byte count.

Application photos add rules beyond pixel size. A tool can create a correctly sized file without deciding whether lighting, expression, head position or background meet the receiver's current instructions. Compare your output with those instructions before submitting it. The relevant preset is a starting point for preparation, not an approval decision.
