Choose the narrowest tool for the job. Merge combines files, Split extracts selected pages, Delete removes unwanted pages, and Reorder changes their sequence. Compression pages target common upload ceilings and disclose when reaching a very small size changes selectable text or visual quality.

If a receiver rejects a PDF, identify whether the failing condition is bytes, pages, format or an encrypted or damaged file. A size compressor cannot fix a page-count rule; splitting is useful only if separate attachments are accepted. Confirm that the file you finally attach is the new download, then compare its exact bytes with the receiver's cap. Binary KB and MB displays can differ from decimal byte limits.

For page work, write down the source page numbers before changing anything. A cover page counts as page one in most PDF tools even when the printed document calls the next page page one. After splitting or deleting, compare the output page count and the first and last page with the source. After merging, inspect the boundaries between documents so an appendix or signature page has not shifted unexpectedly.

Compression can preserve the source structure or rebuild pages as images. The latter can remove selectable text, form fields, links, accessibility tags and the validity of a digital signature. A green size result does not check small print or stamps. Open the saved file and compare the least readable required detail with the original. Keep the source PDF when it must remain editable, searchable or verifiable.

Use text extraction when you need words for search or an AI assistant, and page images when drawings or layout carry meaning. Native extraction cannot read letters that exist only in a scan without OCR. A page image does not retain a searchable text layer. For mixed documents, preserve page numbers and inspect tables, multi-column reading order and charts before treating either representation as complete.

Choose by the requirement you need to meet

A portal rejects the file size

Start with 200 KB compression or 300 KB compression only when that is the stated limit. A scanned document may need image-quality reduction to fit; a text document may have little removable overhead. Check the reported output size and inspect small text before submitting. A target is not a guarantee.

You need fewer pages, not smaller pictures

Split PDF extracts a range such as 1-3,8, creates one file per page, or divides a document into fixed-page batches. Page numbers count from the beginning of the file, including covers. For a 46-page document in ten-page batches, the final batch contains six pages. Splitting does not guarantee a particular file size.

The pages are in the wrong order

Organize PDF pages is the visual workspace for selecting and arranging pages. Use Merge PDF to combine source documents. Keep signed originals: copying pages into a new document does not preserve a valid digital signature over the original file.

You need text or a picture of each page

PDF to Markdown is for reusable text and document structure; PDF to JPG creates page images. Native text extraction cannot read letters that exist only inside a scan. Image output preserves visual appearance but is not searchable text, and multi-column layouts need reading-order checks.

Before sharing the result

Open the saved file and check page count, orientation, legibility and any filled form values. Cropping or omitting pages is not a substitute for verified redaction of sensitive information. Keep the original until you have checked the output and the receiving system has accepted it.
