Start from the document the transaction requires: issue an invoice or credit note, prepare a quote or estimate, record a receipt, or generate fulfilment paperwork such as a packing slip, delivery note, or purchase order.

Use a quote or estimate before work when the recipient needs a proposed scope and price. A purchase order records a buyer's instruction to a supplier; it is not an invoice requesting payment. An invoice states a charge, while a receipt records a payment that actually occurred. A credit note records a correction or credit against an earlier transaction; making one does not by itself transfer a refund.

For fulfilment, a packing slip should list the descriptions and quantities inside a package without monetary columns. A delivery note records what was sent to a destination and can be checked against the receiving count. In a partial shipment, list the actual contents of that box rather than copying the whole order as though all items arrived. Keep the original order reference on each related document so differences can be traced.

The business logo input accepts PNG or JPEG and is embedded locally in the generated PDF. Open the saved output to check placement, line items, dates and references before sending it. A document generator cannot verify that a recipient address is valid or that a tax rate is correct for a transaction. Supply those facts from your records.

Keep a separate record of what was issued and when. A generated receipt does not prove money moved; a generated work order does not prove a job was completed. If you revise a quote or invoice, use a distinguishable reference and retain the version sent to the other party. Do not email customer details to support when a synthetic example can reproduce a tool problem.

Before sharing any document, confirm that the selected template matches the transaction. Check whether its totals, taxes and currency are appropriate, whether the sender and recipient are named correctly, and whether the PDF pages break at sensible places. For a packing slip, verify quantities against the actual package; for an invoice, verify the payable amount against the agreed order.
