Using Work Order Generator
- Identify the service provider in From and the customer in Client. Give the work order a job number and use the custom field for the work site.
- Break the requested work into clear tasks, parts and quantities. Where you enter labour as a quantity, state the time unit in the description.
- Record scope, access arrangements and exclusions in Notes. Use Reference to connect the job to an accepted estimate or customer request.
- Review the proposed scope and amounts with the customer before starting. Download a copy for the job record; completion, scheduling and invoicing are separate steps.
Where work order generator helps
A repair with labour and a part
For a hypothetical repair, enter 2 hours at 45 and one replacement part at 30. The untaxed total is 120. Notes should state what the repair covers and whether diagnostic time or further parts require separate approval.
Additional work discovered on site
If the technician finds another fault, document the new scope and approval before treating it as part of the original order. Keep the old and revised references so the eventual invoice can be reconciled with authorized work.
Before you use the result
- This tool does not schedule a technician, collect an approval signature, track parts or prove that work was completed.
- One tax rate applies to the subtotal. A job with differently taxed materials and labour needs calculations checked outside this form.
- Keep descriptions short enough for the fixed A4 layout and inspect the output. A long scope should be attached separately rather than silently truncated into a line item.
