About Estimate Generator

Create a professional estimate online for free. Add your logo, business and customer details, line items, quantities, rates, taxes, references, validity date, custom project information and notes, then download the completed estimate as a PDF. An estimate is an approximate costing you give a client before a job when the exact figure is not yet certain. The totals calculate as you type before the PDF is drawn in your browser and saved. An estimate differs from a quote in intent: it is your best approximation rather than a firm offer, common in trades and services where the final cost depends on what the work uncovers. Making that distinction clear protects you, and stating it in the notes is good practice. The logo and every client detail remain on this device.

Using Estimate Generator

  1. Add an optional business logo, reference, validity date and custom project field, then enter your business and the client in the From and Bill To boxes.
  2. Add a line for each expected item or task with an estimated quantity and price; totals update as you type.
  3. Add tax if relevant, choose a currency, and use the notes to state that figures are estimates and what could change them.

Enter labour as quantity 3 at a rate of 40, and materials as quantity 1 at a rate of 25. The subtotal should be 145. With an illustrative 10% tax rate, tax is 14.50 and the total is 159.50 in your selected currency. Use the rate appropriate to your work; the example is only a calculation check. Reopen the downloaded PDF and confirm these totals, the customer, project reference, currency and validity date.

A repair estimate

A repairer enters two hours of inspection labour, likely replacement parts, the applicable tax rate, and a validity date. The notes explain that hidden damage may change the final cost before the locally generated PDF is sent.

A service estimate

A freelancer lists discovery, design, and delivery as separate line items with quantities and rates, adds the customer's details and project reference, then downloads a branded estimate the client can use for budgeting.

Does this get me an estimate from a contractor?

No. This is a document maker for preparing your own estimate from prices and quantities you enter. It does not contact contractors, look up local labour rates or assess a job from photographs. Get the underlying prices first, then use the generator to present them to your customer.

What should I check if my downloaded estimate looks wrong?

Check each quantity and rate, the selected currency and the single tax rate. Reopen the PDF to check long descriptions, customer details and notes for missing or clipped text. Correct the form and generate it again before sending. Keep the final PDF separately because the page does not save your estimate between visits.

How is an estimate different from a quote?

An estimate is an approximate cost; a quote is a firm offer. Estimates suit jobs where the final figure depends on what the work reveals. Use the quote generator for fixed offers.

Should I say it is an estimate?

Yes - state it in the notes so the client understands the figure may change. That distinction protects both sides.
